Who else can open this store's numbers, and how to take that access back.
What this page controls
Who else can open your cost prices, your profit and your customers — and how fast you can take that back.
Everyone you invite gets full access to the stores you tick. There is no view-only setting anywhere on this screen, so they see the same numbers you do.
They can also invite more people to any store they hold, and those people won't be anyone you approved.
Access is granted per store, so one person can hold three of your stores and not the fourth. Each person is one row, listed by email address.
Three columns say what that person holds, as a pill per store:
- Active — they are in and can open the store today.
- Pending — invited, hasn't accepted yet.
- Expired — the invitation ran out before they used it.
The Users list only shows people who share a store or an organisation with you. Someone with access to a store you can't see will not appear here.
When you need it
Every trigger for this page is a person changing, not a number changing.
Someone new needs the numbers — a partner, a bookkeeper, an agency, a freelancer. Invite them rather than sharing your login.
One shared login means you can never remove one person without locking out everyone, and no column can tell you who is actually looking.
Someone left. Access never lapses on its own — only unaccepted invitations expire. A freelancer you stopped working with a year ago still opens the store today unless someone revokes them here.
They say the link doesn't work. That's an invitation past its 7 days, now sitting under Expired.
Once a quarter, with nothing wrong. Read the Active column top to bottom and say out loud who each person is and why they still need the store.
Anyone you hesitate over — an old agency, a developer who finished, someone who left — revoke today. Access is free to give back later, and there is no report that will remind you.
How to do it
Getting someone in takes an email and one tick per store. Getting them out takes one click, and takes back the whole row at once.
- Invite User — the button above the table. It opens a dialog titled Invite a user.
- Email — the address the invitation goes to. Case doesn't matter; it's stored in lower case either way.
- Stores & Orgs — tick the stores this person gets. Each organisation lists a (select all) line that ticks every store inside it, then the stores indented under it. Stores that don't belong to an organisation sit under Standalone shops.
- Invite — greyed out until the email is valid and at least one store is ticked. You can only hand out stores you hold yourself.
- Check the row. The person appears in the table with their stores under Pending. That's the invitation sent, not accepted.
- Revoke Access — the bin icon at the end of a row, when someone should no longer have the store. A browser popup asks you to confirm, and names the email so you can check it before you agree.
Watch out for
Every mistake on this page is a mistake about scope — a row holds more than it looks, and a revoke takes back more than you meant.
It takes back every store and organisation on that row at once, Pending ones included. To leave someone with two stores out of three, revoke the row and invite them again for the two they keep.
An invitation is good for 7 days. After that the store moves to the Expired column and the link in their email stops working. There is no resend button — use Invite User again with the same address.
Adding a store to someone who already has a Pending invitation attaches it to the invitation they already have. No second email goes out, and the original link is the only one that works.
If they already hold that store, the invite does nothing at all. Nothing is reset, no email is sent, and the row does not change.
The app refuses and tells you to remove stores from your account instead. Your own access can't be revoked from this table.
A row with pills only under Pending or Expired is an invitation. That person has no account yet, and the name column shows their email with no display name above it.
The pills show the store's myshopify address, not the shop name you see in the store switcher. Hover a pill to read the full address when it's cut off.
